Pull Tableau Report
|
- Go to Early Intervention Tableau Report
- Click on the Court Order Sign Date Filter on top Left side of the Tableau Report
- Update the timeframe for 2 months prior to month the report is to be worked.
- Example: if the report is to be worked in December, the the Court order Signed date timeframe would be Oct 1 thru Oct 31
- Click on the Download icon
- A drop down list will appear, click on “Data”.
- If “Data” is grayed out, click anywhere above the column titles and then “Data” should no longer be grayed out.
- You will get a pop-up window showing the Summary, click on “Full Data”, Then click on “Download”
- If “Data” is grayed out, click anywhere above the column titles and then “Data” should no longer be grayed out.

Import Tableau Report to Early Intervention Tracker
|
- Go to EI Report Tracker and Metrics Google Spreadsheet. (For EI team only)
- On the top left corner, click on “File” and then Click on “Import”.
- In the pop-up window, click on “Upload”, then click on “Browse”.
- You will get another pop-up window, click on “Download” and then on “Sheet 2_Full Data_data”, then click on “Open”
- You will get another pop-up window,uncheck the box “Convert test to numbers, dates, and formulas” as keeping the box checked removes the zeros at the beginning of the AZCARES Case Number.
- Under “Import Location”, click on the Dropdown List and click on “Insert new Sheet(s)”, then click on “Import data”:
- A new tab will be created as “Sheet 2_Full Data_data”
- Move the data in the “Sheet 2_Full Data_data” tab into the “Master” tab.
- Click on the “Master” tab
- Highlight all the rows with prior months cases, right click and click on “Hide” to hide the prior case load.
- Click on the imported sheet.
- highlight all case information, starting from Row 2 all the way down to the last case. Right click and click “Copy”.
- Click on the “Master” Tab
- Click on the 1st row under “AZCARES Case Number”. Right Click and click “Paste” or you can hit Ctrl+V to paste the case information from the imported sheet.
- Delete the “Sheet 2_full Data_data” tab once the information has been moved over to the “Master” tab.
- Right click on the “Sheet 2_Full Data_Data” tab and then click on “Delete”.

Sort and Categorize
|
- Highlight Column P, “Last Payment Date”, then on the top left menu click on “Format”, then click on “Number” and then click on “Date”. This needs to be done to make sure the payment dates sort correctly on the next step.
- On column P, Last Payment Date”, Click on the Dropdown arrow and click on “Sort Sheet Z to A” to show the most recent payments to the top.
- Under column C, “Paying / Non-Paying”, click on the dropdown list in the 1st row to pick up the list “Paying” and “Not Pay”. Mark the cases as “Paying” for payments in column P that were received within the past 30 days. Mark the case as “Not Paying” for payments in column P that were received over 30 days or no payments received.
- On column O, “Intergovernmental Program Indicator”, Click on the Dropdown arrow and click on “Sort Sheet A to Z” to bring all of the Intergov cases to the top.
- Under column B, “Category”, click on the dropdown list and click on “R2/I2 Cases” for each of the cases under “Intergovernmental Program Indicator” that have “Initiating Intergovernmental Interstate” or “Responding Intergovernmental Interstate”.
- On Column S, “SP Incarceration Status”, Click on the Dropdown arrow and click on “Sort Sheet A to Z” to bring all cases where the SP is incarcerated to the top.
- Under column B, “Category”, click on the dropdown list and click on “Incarcerated” for each of the cases under “Pending closure” that have “Valid”.
- On column W, “SR Incarcerated”, follow the same steps as step “III.” above.
- On Column J, “Pending Closure”, Click on the Dropdown arrow and click on “Sort Sheet A to Z” to bring all of the Pending closure cases to the top
- Under column B, “Category”, click on the dropdown list and click on “Unworkable” for each of the cases under “Pending closure” that have a closure Date.
- On Column AC, “Bankruptcy Indicator”, Click on the Dropdown arrow and click on “Sort Sheet Z to A” to bring all of the cases that have “Yes” to the top of the list.
- Under column B, “Category”, click on the dropdown list and click on “Unworkable” for each of the cases under “Bankruptcy Indicator” that has a “Yes”.

Assign cases to Early Intervention Case Managers
|
- On Column B, “Category”, Click on the Dropdown arrow and click on “Sort Sheet Z to A” to have the “unworkable” cases at the top.
- Under Column “A”, number cases by the number of Early Intervention case managers. Do not number the “Unworkable” cases as these will not be assigned. Example: If there are 3 Early Intervention case managers, number 1st case as “1”, 2nd case as “2”, third case as “3”, and start the process over until all of the cases are numbered.
- On Column A, click on the Dropdown arrow and click on “Sort Sheet A to Z” so that all of the number “1” are together, number “2” are together, etc.
- Cases will now show all the cases assigned to “1” together, “2” together and “3” together, All the cases assigned to “1” can be copied and added to 1st Early Intervention case manager’s tab, “2” copied to 2nd case manager’s Tab, etc.
- Highlight from Column B thru Column AK, on all cases assigned to “1”, right click and click “Copy”
- In the Early Intervention Case Manager tab, fill in the 1st blank row in blue to show where prior month assigned cases end and the beginning for the new assigned cases.
- In Column “C” after the blue line, right click and then “Paste” the copied case from the “Master” tab.
